PURPOSE:

The purpose of this position is to provide customer relations and administrative support to the entire Service Division team to help them stay organized and complete tasks that allow them to focus on their responsibilities.  The core duties and responsibilities revolve around supporting others, and the work may vary widely from day to day depending on the needs of the team and the level of activity within the division.

RESPONSIBILITIES:

  • Answer phones and direct callers to appropriate resources.
  • Schedules Appointments and Maintains Service Calendars
  • Provides administrative support to Service Manager.
  • Performs administrative tasks
  • Performs other project-related activities as assigned or requested by the manager.

SCOPE AND NATURE:
This position reports directly to the Service Manager. It has direct contact with a wide range of customers and callers to the Service Division, division managers, service technicians, office staff, retail staff, sub-contractors, and some vendors.

The person in this position impacts on the image and professionalism of the corporation to all customers. This person represents the corporation as part of the on-going contact between customers and the company. The position has a major impact on the customers’ ultimate satisfaction with the company and their willingness to recommend the company to others. The position also impacts on the efficiency, morale, and success of the employees and the company’s ability to reach its goals.

This position is an administrative support position, requiring moderate supervision concerning the normal and routine activities of the department. The position is guided in the work by thorough knowledge of the objectives, policies, procedures, and precedents of the department. The incumbent in the position is expected to demonstrate grace, calmness, sound judgment and integrity in all communications, representations, and decision-making as well as complex problem-solving skills. Although the Service Manager is readily available to assist in decision making, the incumbent is encouraged to think through decisions to be made and have some plan of action in thought before asking for assistance.

The work of this position requires excellent and unflappable communications skills, and excellent office administrative skills.  Also requires strong organizational skills, ability to maintain good relationships and effective communications with personnel and customers, and time management. Good writing skills, accuracy, and attention to details are required.  Ability to work on computers and mobile devices are very important to this position along with solid spelling and typing skills.  Kindness, positive attitude and poise, common sense, organizational skills, and ability to work under pressure are all required.
